How you’ll make an impact:

The Experience Design Operations Coordinator will play an important role in helping to support Strategic & Service Design and Digital Accessibility Operations at Xero. You will help to enable the processes, systems, and behaviours that contribute to the overall effectiveness of a growing design team.

What you’ll do:

Projects & Processes
Partner with the Strategic & Service Design and Digital Accessibility teams on key initiatives that will improve the operations and product design practices.
Support the Strategic & Service Design practice at Xero by partnering with designers to curate and share content with the larger community.

Maintain documents and Asana boards to ensure key members of the design leadership team have visibility and updates of current initiatives, resource use and team performance.

Bring Strategic & Service Design and Digital Accessibility workshop and training programs to life by coordinating with external vendors, booking sessions, tracking attendee completion rates, and program success metrics.

Work as part of a centralized Research Ops team to build, maintain, and recruit a panel of participants that meet criteria of Strategic & Service Design and Digital Accessibility research practices.

Work with partners to create inclusive research processes and training.

Set up and manage our library of team documents and templates in Miro, Asana, and Google
Assist with the allocation of tool licenses and new software requests for usage across the team

Helping our teams grow and thrive.

Manage team rituals by contributing to agendas, slide decks, speakers, and attendee lists for key team meetings.

Support our Peer Review Processes - how our teams share their work and provide feedback, reviewing approaches and design across disciplines.

Maintain various calendars that help provide timely and useful information to the team.

Support the engagement of external vendors and contractors where needed, including helping with the engagement and onboarding processes.

Coordinate Open Hours consulting bookings and produce reports on usage and insights.

Collaborate with Product Design Research and Voice of the Customer teams to socialize customer insights and research for the design team

What you'll bring with you

  • 2+ years of professional experience in operations roles, or in administrative duties, project management, process improvement, or a related field.
  • Any experience supporting a design team is a bonus.
  • Extremely organized and detailed self-starter. 
  • Ability to work across multiple requests in a fast-paced environment.
  • Comfortable with some ambiguity and the foresight to create a plan B before it’s needed. 
  • Active listening and systems-thinking; heading off issues as we scale.
  • Passion for effective and timely internal and external communication. 
  • Great people skills with a blend of professionalism and friendliness
  • An optimistic get-stuff-done mindset
  • Top notch writing skills
